1. About this policy
Les Habitations VAIA SEC ("VAIA," "we," "our") places great importance on protecting your personal information. This policy explains what information we collect through our website, why we collect it, how we use and protect it, and what your rights are.
This policy is written in accordance with Quebec's Act respecting the protection of personal information in the private sector, as amended by Law 25.
Our website is intended primarily for a clientele located in Quebec and Canada. It is not directed at residents of the European Union, and we do not actively target that audience.
2. Person in charge of the protection of personal information
In accordance with Law 25, we have designated a person responsible for the protection of personal information within our organization. You may contact this person for any question, request, or complaint concerning your personal information:

3. Information we collect
We collect only the information you voluntarily provide when you fill out a form on our site, subscribe to our communications, or request an appointment. This information may include:
- Your first and last name;
- Your telephone number;
- Your email address;
- The postal code of your residence;
- How you heard about VAIA;
- The type of apartment you are interested in.
We also automatically collect certain technical information when you browse the site (see Section 6 on cookies).
We do not collect financial information or other sensitive information through the site.
4. Why we collect this information
We use your personal information for the following purposes:
- To respond to your requests for information and communicate with you;
- To schedule and confirm your appointments and visits;
- To offer you apartments that match your preferences;
- To send you, with your consent, our newsletter and text messages (SMS) of a promotional or informational nature;
- To improve our website and understand how it is used;
- To meet our legal obligations.
We use your information only for the purposes indicated at the time of collection. If we wished to use it for another purpose, we would inform you and obtain your consent where required by law.
5. Consent
By providing your information through our forms, you consent to our use of it for the purposes described in this policy.
For our newsletter and text messages, we obtain your express consent, and you may withdraw it at any time (see Section 11). This consent complies with Canada's Anti-Spam Legislation (CASL).
You may withdraw your consent at any time by contacting our responsible person. Withdrawing your consent may, however, limit our ability to provide you with certain services (for example, scheduling an appointment).
6. Cookies and tracking technologies
Our site uses cookies and similar technologies. These fall into the following categories:
- Essential cookies: necessary for the proper functioning of the site.
- Analytics cookies: we use Google Analytics to understand how visitors use our site and to improve it.
- Advertising cookies: we use pixels and tools from Google Ads and Meta (Facebook) to measure the effectiveness of our advertising and to show you relevant ads, including retargeting.
These technologies may be used to build a profile of your interests.
On your first visit, a cookie consent banner allows you to accept or refuse non-essential cookies (analytics and advertising) before they are activated. You may change your preferences at any time through this banner.
You may also manage or disable cookies:
- By configuring your browser to block or delete cookies;
- Through Google's opt-out tools (https://tools.google.com/dlpage/gaoptout and your Google ad settings);
- Through the advertising settings of your Meta account.
7. Sharing your information with third parties
We never sell your personal information.
We use service providers that process information on our behalf, including:
- Webflow — hosting of our website;
- Google (Google Analytics, Google Ads) — audience analytics and advertising;
- Meta (Facebook) — advertising and retargeting;
- Mailchimp — sending our newsletter and managing subscriptions;
- Spark — customer relationship management (CRM) tool used to manage our communications and follow up on your requests.
These providers are required to protect your information and to use it only to provide their services to us.
We may also disclose your information where required by law or to protect our rights.
8. Information processed outside Quebec
Some of our providers (notably Webflow, Google, Meta, and Mailchimp) host or process data in the United States. Other providers, including our CRM (Spark), may also process your information outside Quebec. Your personal information may therefore be stored or processed outside Quebec, where it is subject to the laws of the jurisdiction concerned.
Before entrusting such information to these providers, we ensure that it benefits from adequate protection.
9. Retention period
We retain your personal information only for as long as necessary for the purposes for which it was collected or for as long as the law requires:
- Requests for information and prospect data: retained for up to 24 months after our last contact, then destroyed, unless a contractual relationship (a lease) is established, in which case the information is retained in accordance with applicable legal obligations.
- Newsletter and text messages: retained for as long as you remain subscribed; after you unsubscribe, we retain only the information necessary to honour your withdrawal request.
- Analytics data (Google Analytics): retained for approximately 14 months.
Once these periods have elapsed, we securely destroy or anonymize your information.
10. Security
We take reasonable security measures — technical, physical, and organizational — to protect your information against loss, theft, and unauthorized access, disclosure, or use. As no system is infallible, however, we cannot guarantee absolute security.
11. Your rights
In accordance with Law 25, you have the following rights with respect to your personal information:
- Access: obtain a copy of the information we hold about you;
- Correction: have inaccurate, incomplete, or ambiguous information corrected;
- Withdrawal of consent: stop receiving our communications or withdraw your consent to a given use;
- De-indexing: request, in certain circumstances, that we cease disseminating information or de-index a hyperlink;
- Portability: obtain, in a structured, commonly used technological format, the computerized information you have provided to us;
- Complaint: file a complaint with our responsible person or with the Commission d'accès à l'information du Québec.
To exercise these rights, contact our responsible person (Section 2). We will respond within the time limits provided by law (generally 30 days).
Unsubscribing from the newsletter and SMS
You may unsubscribe at any time:
- Newsletter: by clicking the unsubscribe link at the bottom of each email;
- SMS: by replying according to the instructions provided in the message (for example, "STOP"), or by contacting our responsible person.
12. Privacy incidents
In the event of a privacy incident presenting a risk of serious harm, we will take reasonable measures to reduce its consequences and prevent a new incident from occurring. We will notify the Commission d'accès à l'information and the individuals concerned where required by law, and we will maintain a register of incidents.
13. Links and third-party sites
Our site may contain links to third-party sites (for example, Google Maps to show you our address). We are not responsible for the privacy practices of these sites. We encourage you to review their own policies.
14. Information concerning minors
Our site is intended for adults. We do not knowingly collect information from minors. If you believe a minor has provided us with information, please contact us so that we can delete it.
15. Changes to this policy
We may amend this policy from time to time. Any significant change will be posted on this page with a revised update date. We encourage you to review it regularly.
